The short answer
Rossum is enterprise accounts payable automation: it reads invoices, validates them with a person in the loop and posts them to an ERP. Its Starter plan starts at $18,000 a year with a one year minimum, and Coupa acquired the company in May 2026. Teams that mainly need invoice, statement and report tables in Excel can use PDFxlsx instead, from $49 a month, with $99 a month covering 500 files and 5 seats.
The $18,000 question
Rossum's published floor is a year of Starter. Divide it by twelve and it is about $1,500 a month before any add on, integration or service plan. That is fair value for an AP hub moving thousands of invoices into SAP. It is a lot for a controller who wants last month's vendor invoices in a spreadsheet.
The tiles compare a year of each option at list price. Rossum's figure is from its own pricing page; ours are on our pricing page.
Rossum Starter, from
$18,000
a year, one year minimum, unlimited seats
PDFxlsx Plus, yearly
$588
6,000 files, 5 seats
PDFxlsx Pro, yearly

Rossum prices by page or document volume and workflow complexity, so most quotes land above the floor. Our plans count files: a 40 page statement is one conversion.
What the Coupa acquisition changes for Rossum customers
Coupa announced the deal on May 12, 2026, at its Inspire conference in Las Vegas. Coupa's CEO said the company sees value in applying Rossum's technology "across the Coupa platform". That is good news if your spend management already runs on Coupa.
If it runs on NetSuite, SAP, Dynamics or QuickBooks, the picture is less clear. The announcement did not describe plans for non Coupa customers. Rossum's pricing page still lists SAP, Workday and Oracle integrations and still sells Starter, so nothing has been withdrawn. What finance teams are doing is simple: reading their renewal date, asking what they really use, and pricing the smaller option before the next annual commitment.
- Check the renewal date and notice period in your Rossum order form.
- Count how many documents you process a month and how many need approval routing versus just the numbers.
- Run last month's documents through a smaller tool and compare the totals.

Rossum vs PDFxlsx on five monthly workloads
Rossum's column uses the published floor, which is the least any of these teams would pay. Ours picks the cheapest plan that covers the files and the seats, billed yearly for a like for like comparison.
| Monthly workload | Rossum, per year | Rossum per document | PDFxlsx plan, per year | PDFxlsx per file |
|---|---|---|---|---|
| Controller at a small distributor, 40 invoices | From $18,000 | $37.50 or more | Starter, $288 | $0.60 |
| AP team of 3, 300 invoices | From $18,000 | $5.00 or more | Plus, $588 | $0.16 |
| AP team of 5, 450 invoices and statements | From $18,000 | $3.33 or more | Plus, $588 | $0.11 |
| Shared services team of 10, 2,500 documents | From $18,000 | $0.60 or more | Pro, $1,188 | $0.04 |
| AP hub of 25, 12,000 documents | From $18,000 | $0.13 or more | Pro, $1,188 | $0.01 |
Small volumes pay for the floor
At 40 invoices a month, Rossum works out to over $37 a document at its entry price. The floor exists because the product is built for volume, and below a few thousand documents a month you are paying for capacity you do not use.
Seats are not the problem
Rossum Starter has unlimited seats, which is generous. The cost is the volume and the annual commitment. On our side, teams above 5 people go to Pro, which also has unlimited seats.
At 12,000 documents, compare workflows
An AP hub at that volume pays Rossum well under $1 a document, and it gets approval queues and ERP posting we do not offer. There the question is whether you need that workflow, not which tool is cheaper.
Rossum and PDFxlsx side by side
These are different products that overlap on one job: getting numbers out of documents. Where Rossum does more, the table says so.
| Question | Rossum | PDFxlsx |
|---|---|---|
| Entry price | From $18,000 a year | $49 a month, 50 files |
| Contract | One year minimum | Monthly, yearly optional |
| Seats | Unlimited on every plan | 1 on Starter, 5 on Plus, unlimited on Pro |
| What comes out | Named fields and line items, validated, sent to your systems | Every table as a sheet in XLSX, or CSV |
| Approval workflow and ERP posting | Yes, with SAP, Coupa, NetSuite, Workday and more | No; you import the spreadsheet yourself |
| Master data matching and duplicates | Yes, from Business | No |
| Bank statements and financial reports | Focused on transactional documents such as invoices, orders and bills of lading | Any tabular PDF, including statements, ledgers and reports |
| API | From Starter | On Pro, $199 a month |
| Certifications | States ISO 27001, SOC 2, HIPAA, TX-RAMP | See our privacy policy for file handling |
| Time to first result | Trial in minutes; production rollouts involve setup and onboarding | Upload a PDF, download the workbook |
Stay on Rossum if
You process thousands of invoices a month, need them matched to POs and vendor master data, routed for approval and posted to an ERP, or your procurement team requires SOC 2 and HIPAA paperwork from the vendor. That is what the $18,000 buys, and a converter does not do it.
Switch to PDFxlsx if
Your team opens the extracted data in Excel anyway, handles hundreds of documents rather than thousands, or needs bank statements and reports converted alongside invoices. A monthly plan from $49 covers that without an annual commitment.
Who moves off Rossum, and what they convert
AP teams under a thousand invoices
They check invoice lines against POs in a spreadsheet and never used the approval queue. The workflow is on convert invoice PDF to Excel.
Procurement and purchasing
Supplier quotes, price lists and purchase orders are tables. See PDF to Excel for procurement and purchase order PDF to Excel.
Finance teams closing the month
Statements, aging reports and ledgers were never in scope for an AP platform. They convert the same way; start with PDF to Excel for finance teams.
Testing a smaller option before the Rossum renewal
-
1
Pull a sample from last month
Take twenty documents Rossum processed, including the ones that needed manual correction.
-
2
Convert them here
Upload them in one batch of up to 20 files on Plus or Pro. Scanned pages go through OCR automatically.
-
3
Reconcile the totals
Amounts come out as numbers, so a SUM against the invoice total tells you in seconds whether every line arrived.
-
4
Decide what you still need Rossum for
If the answer is approval routing and ERP posting at volume, renew. If it is the numbers in Excel, pick a monthly plan.

Rossum pricing and alternative questions
Rossum lists its Starter plan at "starting at $18,000 per year" with unlimited seats. Business, Enterprise and Ultimate are quote only. The minimum contract is one year, and the final price depends on the pages or documents you process and how complex the workflow is. Going over the plan volume means upgrading or paying per additional page.
Yes. Coupa announced on May 12, 2026, at Coupa Inspire in Las Vegas, that it had acquired Rossum. Coupa said it plans to apply Rossum's document AI across the Coupa platform. The announcement did not say how Rossum will be sold to companies that do not use Coupa, and Rossum's own pricing page still lists SAP, Workday and Oracle integrations.
Rossum offers a 14 day free trial where you create an account and process your own invoices, sales orders and similar documents. After the trial the entry plan is Starter at $18,000 a year or more. On PDFxlsx, a free account converts 3 whole files so you can check the output before choosing a monthly plan.
For a team processing hundreds rather than tens of thousands of documents a month, look for monthly billing and a price that matches the volume. PDFxlsx Plus is $99 a month for 500 files and up to 5 seats. It converts invoice and statement tables to Excel; it does not replace Rossum's approval workflow or ERP posting.
One year. Rossum's pricing FAQ states that the minimum contract length is one year, so the Starter floor of $18,000 is an annual commitment, about $1,500 a month. PDFxlsx plans bill monthly and can be cancelled from the account page, with yearly billing as an option at ten times the monthly price.
Rossum extracts fields and line items from invoices and other transactional documents and sends them to your ERP or other systems through integrations, API and exports. It is built around a validation and workflow screen rather than a file conversion. PDFxlsx is the narrower tool: each table in a PDF becomes a sheet in an XLSX or a CSV file.
In enterprise intelligent document processing, Rossum is usually compared with ABBYY Vantage, Hyperscience, Tungsten Automation (formerly Kofax), Docsumo and Nanonets, plus the cloud APIs from Amazon, Microsoft and Google. For teams that only need the tables in Excel, a PDF to Excel converter is the smaller, cheaper category.
Rossum states it meets ISO 27001, SOC 2, HIPAA and TX-RAMP standards and trains its models in house. If your procurement team requires those certificates from a document AI vendor, that is a genuine reason to stay on Rossum rather than move to a smaller converter.
